Security Advisory: Be Aware of Email Spoofing & Phishing Attempts

Dear Customers,

This is an important reminder from Shinjiru to remain vigilant against email spoofing and phishing scams, which continue to target businesses and individuals across the industry.

Cybercriminals often disguise themselves as trusted contacts or companies. To keep your account and our environment secure, please follow these guidelines:

 

How to Identify a Suspicious Email

  • Always check the full sender email address, not just the display name. Spoofed emails may use domains or spellings similar to legitimate ones.
  • Watch for unusual requests, especially those related to payments, credentials, or account access.
  • Hover your mouse over links (without clicking) to preview the real URL. If it looks strange or unfamiliar, treat it as unsafe.
  • Be cautious with unexpected attachments, especially those requiring you to “Enable Macros.”

 

What You Should NOT Do

  • Do not click on any links or open attachments from unknown or unexpected senders.
  • Do not provide any passwords, personal details, or financial information via email. Shinjiru staff will never request this information through email.

 

Always Verify

If you receive an email that seems suspicious or requests urgent action, please:

  • Contact the sender directly via a known and trusted communication method (Telegram, phone call, or official email).
  • Do not respond to the suspicious email until verification is complete.

UPDATE: Restoration Complete / Data Recovery : COMPLETED
 

We are pleased to announce that the email restoration process is now complete.

First, please accept our sincere apologies for the disruption and any inconvenience this has caused. We understand the importance of your data and have worked to ensure a full recovery.

Where to find your restored emails

To ensure the safety of your current mailbox, restored emails have been placed into two new folders:

  • Recovery-Inbox

  • Recovery-Sent

These folders are now live and searchable via Webmail and IMAP.


How to move your emails (Summary)

While we have restored the data, we cannot automatically merge these folders into your main Inbox without risking the loss of your most recent emails. Please use the following steps to move your mail:

  • Webmail (Recommended): Log in, select your emails, and simply drag and drop them into your primary Inbox or Sent Items.

  • IMAP (Outlook/Mobile): Drag and drop the emails from the Recovery folders directly into your main folders within your app.

  • POP3 Users: You must log in via Webmail to move these emails into your Inbox before they can be downloaded to your local computer.

Detailed step-by-step instructions have been sent to all administrators via mailblast.


Additional Cleanup

We have implemented a system-wide filter to prevent "removed-messages" notifications from cluttering your folders. These should no longer appear in your account.

UPDATE: Restoration Complete / Data Recovery In Progress Date: January 20, 2026
 

We have successfully completed the restoration of our mail server to new, high-performance hardware.

Why we performed a restoration

To ensure total system stability, we have restored the server to a verified stable state from January 17th, 2026. This restoration was performed to roll back a recent SmarterMail patch which we identified as a primary contributor to the instability. This conclusion was supported by observations in our failover environment, where the SmarterMail web portal (Webmail) exhibited similar inconsistent performance.

Ongoing Data Recovery (Jan 17th – Jan 20th)

Our team is currently manually recovering all emails sent or received during the 3-day window between the backup and today. This data is being placed into two new folders in your account:

  • Recovery-Inbox: Incoming mail from the last 3 days.

  • Recovery-Sent: Outgoing mail from the last 3 days.

Action Required: How to retrieve your mail

Once you notice these folders appear in your account, it means your missing data has been successfully recovered and you can proceed with the following:

  1. Locate the Recovery-Inbox and Recovery-Sent folders in Webmail or Outlook (IMAP).

  2. Drag and Drop the emails from these folders into your primary Inbox or Sent Items.

  3. Delete the empty recovery folders once you have finished moving your mail.

Note on Outlook "Message Removed" Logs

As your Outlook syncs with the restored server for the first time, you may see automated logs or notifications stating "Message removed."

  • Do not be alarmed: This is a standard technical process where Outlook aligns your local computer with the restored server state.

  • No data is lost: Any emails that "disappeared" from your main view during this sync are the items currently being placed into your Recovery folders.

Current Progress

You may continue to use your email service without interruption. We are processing accounts in batches; if you do not see your recovery folders yet, they will appear shortly as the process completes for your mailbox. We will post a final update once the recovery is 100% complete for all users.
